Minutes of St. Andrew By-The-Sea Church Council

December 10, 2007
Attending:  Bill Putnam, Mark Dove, Juanita Graul, David Witt, Sam Mulrain, Harry Alford, Ken Pfeifle, Dan Stratton, Edith Young, Ward Kirby, John Eve, Connie Borgianini, Jeff Jones, Mitzi Ganelin, Julius Scott, Keith Dodson, John Krecker, Martha Hazzard, Jean Thompson, Connie Pendleton

 The meeting opened at 7 p.m. by Bill Putnam, with:

·         Singing of Be Thou My Vision

·         Centering prayer

·         Welcome and opening remarks; announcement that Neil Yongue and Phyllis Brodie unable to attend

 

Celebrations:

·         Worship service yesterday was wonderful

·         Newspaper ad good

·         Basketball program for K-5 years, about 150 total kids, two more teams than last year

·         People reading scriptures during advent and lighting candles, delight to see the people and families

·         Advent program well done and well attended

·         Stewardship – outstanding to date

·         Thirty-five women at last UMW, great and improving

·         Group of people finishing Disciple Bible Study

·         Eight new Stephen ministers who have finished training

Motion to approve October 8 minutes by Ken Pfeifle, seconded, and passed.

Missions/Outreach:

·         Ward Kirby has laid out goals and objectives for 2008 Fall Festival.  Planning meeting to be in early January

Stewardship:

·         Ken Pfeifle made the following announcements:

·         38 pledges (about $70,000) have not come in yet

·         Trailing about 4 percent from last year to this year

·         $930,800 – pledged to date

·         43 new pledges this year

Communications:

Bill Putnam for Phyllis Brodie :

·         Editorial Board has been created with the Senior Pastor and Director of Administration making day-to-day decisions on St. Andrew communications, print or electronic

·         Communications Committee will provide planning, guidance, and assistance with the internal and external communications of the church in cooperation with the Church Council, church staff, committees and volunteers

·         Refer to Communications Policies/Guideline and Highlights regarding these guidelines and for submitting information on any print and electronic communications

·         In Nadine’s office, white board will not be maintained as previous, due to personal privacy or need permission by family

·         Per Harry Alford, recommended no requests for funds will be mentioned in Fisherman unless permission by Finance Committee.  Communications Policy to be so modified.

·         Motion was made by Keith Dodson to accept policy with notice that no request for funds mentioned in Fisherman, seconded, and passed

·         In January, Neil Yongue would like all policies revisited and ratified

Trustees:

·         John Krecker discussed lease of The Sandbox

·         Lease expires March 23, 2008

·         Trustees given the go ahead to negotiate a reasonable lease that reflects the success the Sandbox is now enjoying

·         Motion by Ward Kirby to move forward with negotiations on Sandbox, seconded, and passed

·         Agreed that Trustees will come back to board with information on any issues before signing and before deadline in March

  

SP/PRC:

·         Juanita Graul reported that in the Staff/Pastor parish, all youth and sports programs are stable

·         35 kids at the Christmas program

·         Search Committee for Youth Director includes three members of the SP/PRC committee

·         Presently sorting applications

·         Met with Youth volunteers regarding needs and what is/ and is not working

·         79 children K - 5th grade, 48 pre-school, 40 middle school, 39 high school or a total of 206 youth on current church lists

·         Due to the children growth, it is proposed to hire a full-time Youth Director

·         Currently for Recreation Outreach, want to create new position and hire Recreation Outreach coordinator as a part-time position under Youth Director

·         Propose to obtain this position after Youth Director hired

·         Juanita Graul made a motion that SP/PRC create a part-time position for Recreation Outreach, seconded, and passed
 

Finance:

·         Harry Alford, treasurer, reported that expenses exceed our income by $64,589 for this year

·         Contributions must be in church office or postmarked by December 31, 2007, to receive credit for a contribution in 2007 per IRS’s rules

·         Dan Stratton, finance, has a temporary budget in place for 2008.  Should be permanent in January

·         Dan Stratton hopes to receive approximately $70,000 in pledges not currently received

·         Maintenance issue for repairs – approximately $24,000

 

At 8:50 p.m., it was moved, seconded, and passed to end Council meeting.
